What AppFlowy provides

AppFlowy combines documents, tables, kanban boards and calendars in a workspace for personal knowledge management and project planning. A small test workspace makes it easier to settle task fields, statuses, owners and due dates before a larger migration.

Local, cloud and self-hosted boundaries

The desktop or mobile client, hosted service and self-hosted backend each have different data, account, sync and permission responsibilities. Before enabling sync, record where the workspace is stored, how it is backed up and which versions are compatible.

License and collaboration

AGPL-3.0 obligations apply when modified software is provided as a network service. Keep copyright and license notices, and review trademark and third-party component terms separately from the license for your project data. Review date: 2026-08-23.

GUIDE

AppFlowy 0.12.1 workspace and kanban guide

Create a small project workspace, add a document, table, board and calendar view, then verify local data, sync state and backup before using it for long-term collaboration.

Before you start

  • Choose a Windows, macOS, Linux or mobile build and prepare a test workspace.
  • Define task fields, statuses, owners and due dates before building the table.
  • If using cloud or self-hosted sync, confirm account, endpoint, network, permissions and retention rules.
01

Installation steps

  1. 01

    Install the matching client

Select the package for the operating system and processor, then check language, data path and workspace permissions before importing formal content.

  2. 02

    Create pages and a database

Build a project home page, use a table for task fields and a board for status; test each field with a small sample.

  3. 03

    Configure sync deliberately

Connect cloud or self-hosted sync only after the local workspace and a backup copy work, and record which service owns the data.

02

Quick start

  1. 01

    Add a calendar view

Map due dates to a calendar and check timezone, status and ownership before relying on reminders.

  2. 02

    Test a sync and restore

Edit a copied item on one device, observe the other device and then restore the local backup to a separate workspace.

  3. 03

    Review sharing permissions

Share a test page with the minimum role, revoke it and confirm that private workspace data remains separated.

Usage tips

  • Local workspaces, hosted sync and self-hosted deployments have separate backup responsibilities.
  • Keep the project schema stable once reports and views depend on it.
  • Keep license notices and third-party terms with a self-hosted deployment record.
Troubleshooting and uninstall

Why is a change missing on another device?

Check account, endpoint, network, workspace permissions and sync status, then compare with the last local backup rather than editing both copies repeatedly.

Why did a view lose fields after migration?

Recreate the import in a test workspace, compare field types and relations, and only replace the original after rows, attachments and permissions pass review.

  1. Export and back up the workspaceExport key pages and tables, copy attachments and record the client and backend versions before removing the application.
  2. Uninstall and clear local dataSign out, remove the client through the operating system and clear workspace data only after opening the backup and checking key records.
FAQ

Frequently asked questions

Can AppFlowy replace separate document and project tools?

It can combine documents, tables, boards and calendars for many personal or small-team workflows; complex permissions and large collaboration deployments need separate evaluation.

Is local AppFlowy the same as cloud synchronization?

No. The local client, hosted service and self-hosted backend have distinct storage, account, sync and backup responsibilities.

Does the download require an extraction code?

The Quark entry does not require one; the four-character code for the Baidu entry is shown beside its download entry.
