Choose a PDF tool: page operations, OCR and reading
Start with the task: rearranging pages, recognizing scanned text, or reading research. These jobs need different tools, not necessarily the product with the longest feature list.
Match the tool to your task
| Task | Tool | Limit | Check first |
|---|---|---|---|
| Merge, split, extract and rotate pages locally | PDFsam Basic ↗ | Basic is not a text editor or OCR engine. | Preview page order and keep signed originals. |
| Multiple PDF tasks and scanned-document workflows | Stirling PDF ↗ | Tool execution depends on the connection mode and deployment. | Check whether files stay on the device or reach a connected server. |
| Research-paper navigation and reading annotations | Sioyek ↗ | Image-only scans limit text search and automatic recognition. | Verify navigation targets and back up reading data before migration. |
Before you process real files
- Use a copy and record its page count and signature status.
- Confirm processing location and test with a local sample.
- Check output order, orientation, searchable text and bookmarks.
- Open the output in the recipient’s actual PDF reader.
Common questions
Why can I not search a scanned PDF?
The page may contain an image without a text layer. Use an OCR-capable tool, then verify names, amounts, tables and reading order against the original.
Will digital signatures survive a merge?
Changing pages or file structure can invalidate a signature or mark the document as modified. Preserve signed originals and treat edited copies separately.
